Work as a Team

Every Kinsta plan includes unlimited users, so there’s no need to share a login. Give each person their own account with only the access they need. That keeps your sites secure and shows you exactly who did what.

Invite users with the right access

Why it matters: A shared login means anyone with the password can do anything, including deleting a site or changing billing. Individual accounts let you limit each person to what their role needs, and remove access cleanly when someone leaves.

How to start: When you invite someone, you choose how much they can see, and whether that covers your whole company or just specific sites.

Company-wide access covers every site in your company:

  • Company Administrator: Full access to all sites, users, and billing. Suits a co-owner or business partner.
  • Company Developer: Works on all sites and can see company users, but can’t change users or make billing changes. Suits an in-house developer or agency team member.
  • Company Billing: Sees only billing details and company settings, with no access to sites. Suits a finance or accounts contact.

Site access covers only the sites you choose, with a role set for each one:

  • Site Administrator: Full control of that site. Suits a client who owns one site in your account.
  • Site Developer: Works on that site, but can’t see live analytics, users, migrations, or DNS. Suits a freelancer or contractor on one project.

A single person can have a site role on several sites. See User Management for the full permissions chart.

Watch out for: Monitoring alerts are sent to Company Owners, Company Administrators, Company Developers, Site Developers, and Site Administrators, so make sure the person responsible for each site has that access.

See who changed what

Why it matters: When something changes unexpectedly, you need to know who did it and when.

How to start: The Activity Log records actions taken in MyKinsta across your company.

Organise many sites

If you manage more than a handful of sites, these features save time:

  • Labels: Tag sites by client, project, or status, then filter your site list by label.
  • Bulk actions: Select several sites or environments on the Sites page and use Actions to apply a change to all of them at once. You can clear caches, update plugins and themes, change PHP versions, turn the CDN or edge caching on or off, change bot protection settings, and add hourly backups, external backups, Redis, or PHP performance.
  • Omni-Search: Jump straight to any site or setting in MyKinsta without clicking through menus.

Secure how your team logs in

Why it matters: The more people with access, the more important strong login security becomes.

How to start: Two-factor authentication is required for every MyKinsta login, using a code sent by email by default. Ask your team to switch to an authenticator app in their user settings, which is more secure than email codes; see Logging In. If your organisation uses Google Workspace, Microsoft Entra, Okta, OneLogin, or Ping Identity, you can require everyone to log in through it with SAML single sign-on.

Log in to WordPress without sharing passwords

Why it matters: With several people working on a site, WordPress passwords get shared, reused, and forgotten.

How to start: Go to Sites > sitename > Info and click Log in to WP Admin. MyKinsta matches your MyKinsta email address to a WordPress user and logs you in, or offers to create an admin account if there isn’t one. It works on live and staging, and alongside two-factor authentication and password-protected sites. See WP Admin.

For agencies: hand sites over to clients

If you build sites for clients, you can create a separate company for a client in MyKinsta and transfer ownership when the project ends. See New Company and Transfer Ownership.

If you need to take a site offline quickly, for example, a retired campaign site or a project on hold, you can suspend its environment. Suspension makes the site unavailable on both the front end and in the WordPress dashboard without deleting it.

In your routine

Accounts are easy to create and easy to forget. Each quarter, review both your MyKinsta users and your WordPress user accounts, and remove anyone who no longer needs access. A quick look at the Activity Log at the same time will show any changes you didn’t expect. See Your Maintenance Routine.
